Privacy and cookie notice

1. Who we are

RoiFemme Health Clinic is the controller of personal information collected through this website. You can contact us at hello@roifemme.health, by telephone on +44 20 7946 0958, or at 123 Wellness Avenue, Suite 200, London, UK.

This notice covers website visitors and people who send us an appointment or general enquiry. Clinical records created after you become a patient may also be covered by a separate patient privacy notice.

2. Information we collect

We may collect:

• your name, email address, telephone number, and service of interest;
• the information you choose to include in an enquiry, which may include health information;
• technical and security information produced when you use the website, such as IP address, browser type, request logs, and error information; and
• your cookie and storage preference.

Please do not use the enquiry form for emergencies or include more medical detail than is needed for us to respond and arrange an appropriate first conversation.

3. How and why we use information

We do not use website enquiries for automated decision-making or sell personal information.

4. Who we share information with

We use carefully selected service providers to host and operate the website. Contact submissions are stored using Supabase, and the website is hosted through Vercel. These providers process information on our instructions. We may also share relevant information with authorised RoiFemme staff, clinical professionals involved in arranging your care, professional advisers, or public authorities where the law requires it.

Some technology providers may process information outside the UK. Where this happens, we require an appropriate legal transfer mechanism, such as UK adequacy regulations or approved contractual safeguards.

5. How long we keep information

General enquiries that do not lead to care are normally kept for up to 12 months after the last contact, unless we need them for a complaint, legal requirement, or safeguarding reason. If you become a patient, relevant information may form part of your clinical record and will be kept in line with applicable clinical and legal retention requirements. Security logs are kept only for as long as reasonably needed to protect the service.

6. Cookies and browser storage

The website currently uses browser storage to remember whether you selected “Essential only” or “Allow optional”. This preference is necessary so we can respect your choice. Optional analytics are not currently active. If optional tools are introduced, they must not run unless you have selected “Allow optional”.

You can change your choice at any time by selecting the Cookie settings badge at the bottom of the website. You can also remove stored preferences using your browser settings.

7. Your data protection rights

Depending on the circumstances, you may have rights to access, correct, erase, restrict, or receive a copy of your personal information, and to object to some uses. Where we rely on consent, you can withdraw it at any time. Withdrawal does not affect processing that took place before it was withdrawn.

To exercise a right, contact hello@roifemme.health. We may need to verify your identity. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint.

8. Changes to this notice

We review this notice when our services, suppliers, or use of information changes. The latest version will always appear on this page with its updated date.
